Terms and Conditions

Thank you for trusting Five Graces Photography to capture your child’s unique personality and the special moments they experience in their learning spaces.

Our Photography Style
We focus on documenting children as they explore, interact, and immerse themselves in activities at care or kindergarten. Our goal is to provide galleries that reflect your child’s personality and learning environment.

Registrations

Your child must be registered for us to photograph your child. If you do not follow the registration process, we will not photograph your child under any circumstance.

Late Registrations

Late registrations are accepted; however, please note:

Your child may be photographed without prior notice.
Our schedule may already be at capacity, and we cannot guarantee that your child will be photographed.

We strongly recommend registering before the deadline to ensure your child is included.

Sitting Fee and Pricing

A non-refundable sitting fee of $35 per child contributes to the costs of photography, editing, and curating your child’s gallery.
This fee does not include printed or digital images.
Please note that our processes require significant time and effort to deliver a high-quality gallery for each child.
The only circumstance where this fee will be refunded is if your child is not photographed.

Registration Fee and Refund Policy

Families pay a registration fee which is fully redeemable when ordering their photos. If you choose not to enter your coupon code at checkout, your registration fee will be refunded minus applicable transaction fees. Refund amounts are as follows:

1 child registration $35 → Refund amount: $28.23
2 children registration $61 → Refund amount: $48.33
3 children registration $87 → Refund amount: $70.61

Your child's Photo Day

Families will be notified of their child’s scheduled photo day before the start of the photo week. This notification will be sent via email and/or text, using the contact details provided at the time of booking.
For centres where we are photographing over multiple days, individual schedules will be communicated in advance to ensure families are aware of their child’s designated photo session.
If your child attends a centre where we are only advertising photo day on a single date, you will not receive a personal notification from us. It is understood that all children attending on that day will be photographed, as communicated by the centre and through our promotional materials.
We make every effort to communicate photo day details through the centre and our own channels. It is the responsibility of families to take note of these dates once they have been shared.
Five Graces Photography is not responsible for missed photo days due to families not being aware of the schedule.

Refunds and Reshoots

If your child is unable to participate in a photoshoot for any reason, we will refund the registration fee.
If you are dissatisfied with the images, we will review them against our brand guidelines:
- If the images meet our brand standards, refunds or reshoots will not be offered.
- If the images fail to meet brand standards, we will refund the registration fee.
If sibling children are registered but only one child is photographed due to a sibling being unsettled, absent, or for any other reason, the full registration fee will apply to the child who was photographed and no refunds will be provided. While we always aim to capture sibling portraits, they are not guaranteed.

Special Requests

Families may include special requests on the registration form; however, due to the busy and child-led nature of early learning environments, Five Graces Photography cannot guarantee that any special request will be fulfilled on photography day. Sessions are conducted around centre routines, time constraints, and each child’s comfort and cooperation. No refunds will be provided if special requests cannot be facilitated.

Centre - Cancelled Bookings

If a centre cancels or postpones a confirmed Photo Week booking for any reason, the Family Registration Fee is retained by Five Graces Photography as a non-refundable booking retainer. This fee covers the allocation of photographers, scheduling, administrative preparation and reserved dates for us to attend your centre.

Clothing and Hair

Please ensure your child is sent to care in clothing you are happy for them to be photographed in. Pack an additional set of clothes as a backup.
We do not offer refunds or reshoots if desired clothing is not worn in the images.
We cannot guarantee that your child’s hair will remain styled as sent, especially after wearing hats for outdoor play. Our team will tidy hair naturally as needed but relies on educators' discretion for styled hair.

Resitting Fee

A $35 resitting fee applies if you request your child to be rephotographed due to dissatisfaction with clothing or hair. Additional sitting fees are not redeemable on product.

Absent or Unwell Children

Children who are absent or deemed too unwell to be photographed will receive a refund of the sitting fee. For the health and safety of everyone, please do not send unwell children who would otherwise be resting at home to care solely for photos.
If your child is absent on their allocated photo day, we will do our best to accommodate where possible. However, rescheduling is subject to availability and is not guaranteed.

Multiple Children Policy

Each photography package is valid for one child only. If you wish to have photos of multiple children, a separate package must be purchased for each. A 25% discount applies to additional children.
If sibling children are registered but only one child is photographed due to a sibling being unsettled, absent, or for any other reason, the full registration fee will apply to the child who was photographed, and no refunds will be provided.
Sibling portraits are available for separate purchase when successfully taken.
Due to the busy nature of Early Learning Centres and Kindergartens, while we always aim to capture sibling portraits, they are not guaranteed.

Kinder Group Photos

Kinder Group photos are taken for kindergarten aged children, depending on your centre’s participation.

You must sign a Kinder Group Shot permission form by the due date for your child to be included in the Kinder Group Shot. If you do not sign this permission form, your child will be excluded from the Group Shot. We will not return to retake Group Shots due to your failure to meet the deadline.
3-year-old kindergarten group photos are ONLY taken at sessional kindergartens and at the discretion of the centre*
4-year-old kindergarten group photos are taken at all participating centres at the discretion of the centre*
Only first names are listed on group shots. If multiple children have the same first name, a last name initial is added.
Group shots* are included as complimentary digital files with orders over $100 or available for individual purchase.

*your centre may elect to not have group photos taken or released due to child privacy.

Image Retention

Images are stored for 3 months. Please download your gallery promptly and back it up using cloud storage or another reliable method.

Marketing and Promotional Use

By consenting to marketing use, you permit Five Graces Photography to use your child’s images on social media, printed materials, galleries, and for industry competitions.
Educators may be photographed for centre promotional purposes. If children appear in these images, they will be photographed in a way that ensures they are not identifiable.

Five Graces Photography ELC and Kindergarten Photography uses automated processes to deliver consistent, high-quality galleries. This is not a bespoke photography service.
